Service Level Agreement - Accommodation

Accommodation Booking Procedures
- Delegates attending Training at The PSA Academy will book their accommodation requirements through tobook Ltd, using the www.tobook.co.uk website
- All new accommodation requests will be sent by email to the hotel and must be responded to within 4 working hours
- For new accommodation requests recevied by tobook Ltd where the date of stay is within 5 days, the tobook Ltd team will phone these directly through to the hotel and book over the phone
- Rates offered must be valid for 12 months and offered on LRA basis.
- Payment Instructions: tobook Ltd operates a bill back facility for PSA Groupe.
- Where instructed, a maximum of the amount stated in Personal Requirements' on each booking request is to be invoiced back to tobook Ltd.
- Any further costs, and extras, above the authorised bill back value are to be settled by the guest, unless otherwise instructed.
- Ensure special attention is given to the ‘Personal Requirements’ section on ALL requests for payment instructions and whether the account will be invoiced back to tobook Ltd. Some guests may be required to settle their own accounts in full.
- For those guests settling their own accounts the guest will supply credit card details directly, 48 hour prior to arrival as a minimum.
- Non receipt of credit card details must be advised to the tobook team at least 48 hours prior to guest arrival for assistance.
- Reservations not guaranteed by a credit card must be cancelled free of charge 24 hours prior to their arrival. Please advise the tobook team of these instances.
- Credit Card swipes must be taken from ALL guests on check-in. A registration form must also be completed by each guest.
- Hotel to provide a 'Statement of Account' to tobook Ltd every Friday by 2pm and invoice tobook Ltd at the end of each calendar month with a full VAT invoice for all authorised stays during the period.
- Any reservations made directly, or through other channels than through tobook Ltd, must not be included in the tobook Ltd invoice and will not be paid.
- Payment of hotel invoices will be made 14 days after receipt of a correct monthly VAT invoice.
- Venue to provide comfortable non smoking rooms for all delegates.
- If the hotel is overbooked PSA Groupe bookings are not to be out-booked under any circumstances.
- No cancellation fees payable if cancellation notice received within hotel's agreed cancellation period.
- Car parking should be available at the hotel and any charges to be included in booking.
Other
- No advertisement emails to PSA Groupe and/or their guests.
- The hotel must advise tobook Ltd of any planned maintenance works or scheduled refurbishment taking place at the property, which will affect any PSA Groupe accommodation/meetings taking place, as soon as possible.
- Any cancellation of accommodation or meetings/events as a result of planned works happening at the property will not be chargeable to PSA Groupe under any circumstances.
- In line with the Data Protection Act, delegate contact details must not be used for marketing or advertisement purposes. This applies for PSA Groupe Staff and delegates
- All contact with PSA Groupe must be made through the team at tobook Ltd - please email tobook@tobook.co.uk
- Feedback from delegates/trainers/course leaders will provide the measure of the venues commitment to service and influence future bookings with the hotel
- Hotel staff and General Manager will be advised of feedback both negative and positive and will be offered the courtesy to comment
- tobook Ltd MUST be advised immediately by the hotel if:
  - Any issues arise prior to or during a delegate/trainer/course leader’s stay
  - Any complaints are made directly at the hotel by delegates/trainers/course leaders
